How to use the whiteboard in Zoom meetings?

Select

This option can help select, resize or move your annotations. To select annotations at once, snap and drag your mouse to show a selection area. 

Text

It helps to type text on the board.

Draw

You can draw lines, arrows, and shapes by selecting from the toolbar. This option can also be used to highlight an area of your sketch on the screen, circle, or square icon to insert a semi-transparent square or circle. 

Using the meeting drawing tools

Free Form

 If you select this option, Zoom will not turn your lines or drawings into shapes. They will appear on the pad as they were drawn.

Smart Recognition Drawing

 Zoom will recognize and auto-convert your sketches to shapes immediately.

Stamp

It lets you insert some predefined icons like a star or checkmark.

Spotlight / Arrow

These two listed options help turn your cursor into an arrow or a spotlight. 

  • Spotlight: Shows your mouse pointer to all members when your mouse is inside the region which is shared. Utilize this to call attention to parts of the screen, like a laser pointer.
  • Arrow: It shows a small arrow instead of your pointer. Each ensuing click will remove the last arrow. You can utilize this feature to point out your annotations to the participants.

Eraser

 Use this to erase parts of your sketches or annotation.

Format

It helps you to change how your annotations look, like color, font, and line width.

Clear

 This option will delete all your annotations or your participants’. To delete only one annotation, select it and press delete from the keyboard or use the eraser.

Step 5: After your done using the whiteboard, you can stop sharing it and end the meeting.

How to save a whiteboard session?

You can save and share a meeting, including annotations, through an email containing the whiteboard’s images or PDF.

If your board has various pages, each page will be saved as a separate image. In the event that you select PDF, all pages will be saved in a single PDF.

Step 1: You start the whiteboard session.

Step 2: After you’re done with the board, tap the ‘save’ icon.

Step 4: Enter the email addresses you want to share your images or PDF.

Step 5: In the bottom-right corner, select the format in which you want to save. PDF if there are multiple pages and want to send them as a single file.

Step 6: Click on ‘send.’ It’ll be forwarded to the mentioned emails. The sender will be the name of the room.

  • REDO: Ctrl + Y
  • UNDO: Ctrl + Z
  • Mouse Mode: By right-clicking anywhere.

MAC

  • REDO: Command + shift + Z
  • UNDO: Command + Z
  • Mouse Mode: By right-clicking anywhere.

LINUX

  • Mouse Mode: By right-clicking anywhere.

Inviting people to a Whiteboard session outside the meeting

On the off chance that you start a whiteboard session outside the meeting, you can later share it with the other participants that you invited.

Step 1: Click on ‘whiteboard’ from the home screen.

Step 2: Tap on the ‘Invite’ to invite the participants.

Step 3: Using the search bar, search for the people to invite.

Step 4: Select the people, then click on ‘Invite.’ The whiteboard will be visible to the participants, and you can use the tool to draw on the board and later share it with them.

Security settings for the whiteboard

Zoom Rooms for whiteboards can likewise be limited to permit offering to internal users for extra security. 

Account-wide

Step 1: From the Zoom Web Portal, then go to ‘room management’ and then ‘Zoom rooms.’

Step 2: Select ‘Account Settings’ and then to ‘Meetings.’

Step 3: To prevent sharing it with other people, make sure that ‘Send whiteboard to internal contacts’ is checked.

From the Zoom room

Step 1: From the Zoom Web Portal, go to the ‘room management.’

Step 2: Then go to the ‘Zoom rooms.’

Step 3: Select the ‘Edit’ option to the right of the room name.

Step 4: Click on the ‘meetings.’ 

Step 5: To prevent sharing it with other people, make sure that ‘Send whiteboard to internal contacts’ is checked.
